This policy explains what personal data AnswerFolk collects when you visit answerfolk.com, get in touch, or work with us, and what we do with it. We keep it short because we collect very little.
Who we are
AnswerFolk is a trading name of Presentable Software Limited, registered in England and Wales (company no. 09985153), Unit A St Andrews Court, Wellington Street, Thame, England, OX9 3WT. We are the controller of your personal data and are registered with the Information Commissioner’s Office (ICO) under reference A8167535.
Questions about this policy or your data go to James Chambers at james@answerfolk.com.
What we collect
When you visit the site. We use PostHog to count visits and see how the page is used: which pages you view, which buttons and links you click, the page that sent you here, and your browser, device and approximate location. PostHog is set not to store your IP address, and we don’t record your screen or sessions.
When you fill in the get-started form. The search you want to be found for, your website, your name, your work email and, if you tell us, the CMS you use. Once you send the form, we link it to your visits on this site so we can see how you found us.
When you text, call or email us. Your phone number or email address and whatever you choose to tell us.
When you become a client. Your contact and billing details, the access you give us to your website, CMS and Google Search Console, and the reports we produce for you. Our agreement with you covers how we handle that access.
We don’t collect special category data, and the site isn’t meant for children.
Cookies
The site doesn’t set cookies or store anything in your browser, so there’s no cookie banner. Analytics are held in memory for a single page visit only.
How we use it
| What we do | Our lawful basis |
|---|---|
| Reply to your enquiry and talk about working together | Steps you’ve asked us to take before a contract |
| Provide the service and send your Monday report | Performance of our contract with you |
| Measure and improve the site | Our legitimate interest in understanding which pages and messages work |
| Keep business and tax records | Legal obligation |
We don’t sell your data, and we don’t add you to a mailing list. If you send the form, we may follow up about your enquiry by email, text or phone.
Who we share it with
We use a small number of providers to run the site and the business. Each handles data only on our instructions.
- PostHog (PostHog Inc.): analytics, and where form submissions are stored. Data is held in PostHog’s EU region.
- Cloudflare (Cloudflare, Inc.): hosts the site. Every request passes through Cloudflare’s network, including your IP address.
- Email and phone providers: when you email or text us, our providers carry and store those messages.
We may also share data with our professional advisers, or where the law requires it.
International transfers
PostHog stores our data in the EU, which the UK recognises as adequate. Cloudflare is a US company, and some data may be processed outside the UK. Where that happens we rely on the UK Extension to the EU-US Data Privacy Framework or the UK’s International Data Transfer Agreement.
How long we keep it
- Site analytics: up to two years.
- Enquiries that don’t become work: up to two years from our last contact, then deleted.
- Client records: for as long as we work together, then six years for tax and legal purposes.
Your rights
You can ask us to:
- give you a copy of your data
- correct it
- delete it
- restrict or object to how we use it
- move it to another provider
To use any of these, email james@answerfolk.com. It’s free, and we’ll reply within one month.
If you’re unhappy with how we’ve handled your data, please tell us first. You can also complain to the ICO at ico.org.uk or on 0303 123 1113.
Security
Only the people who need your data can see it, and the site is served over HTTPS. If a breach puts you at risk, we’ll tell you and, where required, the ICO within 72 hours.
Changes
If we change this policy, we’ll update it here and change the date at the top.
